In-Office Scanning Services — Clinical Technology Specialists | HDS

The Service

What Our Specialists
Do in Your Office

Complex implant cases require a comprehensive set of digital records — intraoral scans, photographic documentation, occlusal registrations, and in many cases, CBCT data. Capturing these records accurately, efficiently, and in a format that integrates with the treatment planning workflow requires specialized training and equipment.

Most dental practices do not have a dedicated team member with the training and experience to capture these records consistently. The result is variability — some cases have excellent records, others have gaps that create problems downstream.

HDS solves this problem by deploying our own clinical technology specialists to your practice. These specialists are trained in our specific protocols, equipped with our technology, and accountable to our quality standards. They capture the records, verify their accuracy, and transmit them directly to our treatment planning team.

For your practice, this means that every complex case begins with a complete, accurate, and properly formatted set of digital records — regardless of your team's digital dentistry experience.

Records Captured

A Complete Digital
Record Set

Intraoral Scans

Full-arch digital impressions of the maxilla and mandible, captured with submillimeter accuracy. These scans form the foundation of the prosthetic design and surgical guide fabrication.

Photographic Records

A standardized photographic series including full-face, profile, retracted, and occlusal views. These photographs are essential for digital smile design and aesthetic planning.

Occlusal Records

Digital bite registrations that capture the patient's occlusal relationship with precision. These records are critical for designing a prosthetic that functions correctly in the patient's bite.

CBCT Coordination

For cases requiring CBCT imaging, we coordinate with your imaging center or provide guidance on CBCT acquisition protocols to ensure that the data is compatible with our planning software.

The Process

From Scheduling to
Case Preparation

Our in-office scanning service is designed to integrate seamlessly into your existing appointment workflow.

01

Case Referral

When you identify a patient who is a candidate for full-arch rehabilitation or another complex implant case, you contact HDS to initiate the process. We review the case information and confirm that an in-office scanning appointment is appropriate.

02

Appointment Scheduling

We schedule a scanning appointment at your practice at a time that is convenient for your team and the patient. Scanning appointments typically take 45–90 minutes, depending on the complexity of the case.

03

Pre-Appointment Preparation

We provide your team with a brief checklist of preparation steps — primarily ensuring that the patient's mouth is clean and that any existing removable prosthetics are available for scanning.

04

In-Office Scanning Session

Our specialist arrives at your practice with all required equipment. The scanning session is conducted in your operatory, with your team present. We capture all required records, verify their quality in real time, and answer any questions from your team.

05

Data Transmission

All digital records are transmitted to our treatment planning team immediately after the scanning session. There is no delay for shipping, no risk of data loss, and no need for your team to manage file transfers.

06

Case Preparation

Our treatment planning team reviews the records and prepares the case for the planning session. Within 24–48 hours of the scanning appointment, you receive a case summary and a proposed timeline for treatment planning completion.

"The quality of a complex implant case is determined by the quality of the records. We take responsibility for that quality — so you don't have to."

Practice Benefits

Why Busy Practices
Choose This Service

In-office scanning services are not just for practices that lack digital technology. They are for practices that want to deliver complex cases at the highest level, consistently.

No Technology Investment Required

You do not need to purchase or maintain intraoral scanning equipment. We bring everything required for the scanning session.

Consistent Record Quality

Every case begins with records captured by a trained specialist following a standardized protocol. Variability is eliminated.

Team Time Savings

Your team does not need to learn or manage the scanning workflow. They focus on patient care while our specialist handles the technology.

Faster Case Initiation

Cases can be initiated immediately, without waiting for your team to develop digital dentistry skills or for equipment to be purchased and installed.

Workflow Integration

Our specialists are trained to work within your existing appointment structure. The scanning session is designed to minimize disruption to your schedule.

Direct Laboratory Connection

Records captured by our specialists are transmitted directly to our laboratory and treatment planning team, eliminating the communication gaps that occur when records pass through multiple hands.

Case Collaboration

How Surgeons, Restorative
Doctors & Technicians Work Together

Complex implant cases require three parties working from the same information. HDS creates the infrastructure for that collaboration.

Digital Planning Meetings

Before surgery is scheduled, HDS facilitates a digital planning review with the surgeon and restorative doctor. Implant positions, prosthetic design, and surgical approach are reviewed collaboratively using the digital records captured in your office. Every stakeholder sees the same information and agrees on the plan before a single incision is made.

Implant Position Planning

Implant positions are planned prosthetically — the restoration drives the implant position, not the other way around. CBCT data, intraoral scans, and the restorative design are integrated into a unified planning environment. The surgeon receives a surgical guide that reflects the prosthetically driven plan.

Restorative Planning

The restorative doctor's vision is captured digitally and communicated to the laboratory with precision. Tooth position, occlusal scheme, phonetics, and smile design are documented in the digital plan. The laboratory fabricates to the plan — not to assumptions.

Communication Protocols

Every case has a dedicated HDS clinical liaison who serves as the communication hub between all parties. Questions are answered quickly. Changes to the plan are documented and communicated to all stakeholders. Nothing falls through the cracks.

Risk Reduction

The most significant risks in complex implant cases — compromised implant positions, prosthetic complications, patient dissatisfaction — are identified and addressed in the planning phase, before they become intraoperative or post-operative problems.

Predictable Outcomes

When every stakeholder is working from the same digital plan, and when that plan has been reviewed and approved before surgery, outcomes become predictable. Predictability is not a goal — it is the expected result of a properly managed workflow.

Workflow Integration

Embedded in Your
Practice Workflow

The HDS in-office scanning service is not an add-on or an interruption to your existing workflow. It is designed to integrate seamlessly into the way your practice already operates.

Our specialists work within your appointment structure, in your operatory, with your team present. We do not require dedicated space, specialized infrastructure, or changes to your scheduling system. We arrive, capture the records, and transmit them — and your team continues with their day.

Over time, as your team becomes familiar with the process, many practices find that the presence of an HDS specialist in the office creates a natural opportunity for team education. Your staff learns by watching — and the quality of your in-house digital dentistry capabilities improves as a result.
